LittleStar ABA Therapy is looking to hire a Psychological Services Coordinator to work closely with the  Psych Services Director, and psychologist(s) to coordinate the tasks associated with the day-to-day operations of the Psych Services Department, including the diagnostic clinic if needed.

Essential Duties and Responsibilities

· Answer all phone, fax, and email inquiries from referring sources & families

· Maintain and update waitlist

· Review assessment, social skills, and therapy process with the families when they call

· Schedules relevant appointments (i.e., therapy intakes, social skills initial assessments) with the family and psychologist

· Verify and confirm patient appointments

· Communicate with families regarding upcoming groups, collect relevant information (i.e., insurance cards)

· Participate in Psych Services monthly meetings and community events

· Enter all information onto Psych Services Sharepoint pages

· Enter all communication with families, physicians, and insurance department into relevant practice management system

· Ensure that all appointments are on outlook calendar, copied to psychologist, administrative calendar, and LS insurance

· Maintains spreadsheets with past and upcoming diagnostic assessments and referrals

· Maintains client, family and employee confidentiality per LS policy and HIPAA Privacy Rule Regulations.

· Promotes a positive company culture with open communication, respect, and teamwork

· Provides customer service to parents, doctor, visitors, callers, etc.

· Orders administrative supplies and any requested materials required for the department

· Maintain all protocol files for the years legally required (7 years)

· Ensure families have signed all of the required paperwork, including the consents and release form

Educational Qualifications and Skills

· High School diploma or GED required

· Must be 18 years of age or older

· Experience in the field of ABA or psychology is preferred

· Strong verbal, written and oral communication skills

· Strong organizational habits with attention to detail and accuracy

· Ability to work cooperatively with a variety of people, both internal and external

· Ability to keep information confidential

· A positive team player and energetic professional

· Strong time management skills along with the ability to manage multiple tasks

· Good judgment and problem-solving skills

· Ability to communicate appropriately given the circumstances of the situation and individuals involved

· Discretion in matters that need to remain private

· Strong computer skills and Microsoft Office proficiency

· Professional appearance

· Pleasant personality and ability to work as part of a team

· Ability to categorize, prioritize and multi-task office related tasks and projects

· Ability to act as a positive role model for all staff, families and children working with LS and model a high standard of reliability, accuracy, integrity, sensitivity, and professionalism

· Ability to work to positively impact team spirit and overall morale

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

Position generally operates in a professional office environment. This position is eligible for telecommuting up to 2 days per week.

Condition of Employment:

· Must successfully pass the initial and updated criminal history, background, and record checks, which includes driving history checks.

· Must wear appropriate Personal Protective Equipment (PPE), as provided by LittleStar, when interacting with patients and when physical distance cannot be obtained, as needed.
